Details in a Cover Letter


Section 1:  Heading
usm.gif (70 bytes) The heading should contain your contact information, date (month/day/year), and the employer's name and address.
usm.gif (70 bytes) Typically this information is on the top left hand side of the page in the above order. Each section of information should be separated by a line space.

Section 2:  Introduction
usm.gif (70 bytes) Begin the letter with a greeting (e.g. Dear Mrs. Amerigon). Follow the greeting with a comma and then leave a line space and begin the letter.
usm.gif (70 bytes) The first paragraph, or opening, should do the following:
  • Spark the employer's interest.
  • State the reason for writing (e.g. to apply for a specific position) and include the name of the position or the area that you are interested in.
  • Indicate how you heard about the opening (e.g. posting on the CareerOwl bulletin board, newspaper ad, etc.).
  • Mention who referred you (if applicable).
  • Tell the employer why you are interested in working for him/her, and/or why you are interested in the position or in the industry or field.
  • State your career objective.

Here are some sample phrases you can use:

My professor, ...................., suggested I contact you concerning...

I am writing to inquire about ...
I am writing to apply for....
The ....(newspaper/magazine)... contained an article about...

...regarding our conversation of last week..



Section 3:  Body
usm.gif (70 bytes) The should generally be one or two paragraphs long.
usm.gif (70 bytes) This section is your opportunity to sell yourself to the employer. You should explain why you are qualified for the position and why you are the person that the employer is looking for. In doing so, emphasize key qualifications that the employer has listed in the job description.
usm.gif (70 bytes) This is a good place to show how your skills from past experiences are either directly relevant to the position or how they are transferable and will be useful in performing the job.
usm.gif (70 bytes) Also use this section to demonstrate your knowledge about the organization and industry.
usm.gif (70 bytes) This section should support the details of your résumé.
usm.gif (70 bytes) Your last sentence in this section should reaffirm the strength of your candidacy.

Section 4:  Closing
usm.gif (70 bytes) In your closing you should clearly state what happens next (e.g. that you will call the employer to arrange an interview, to determine the status of your application, look forward to hearing from them, etc.). Make a specific request for an interview in this section.
usm.gif (70 bytes) You could also thank them for taking the time to review your application as well as notify them of what you have included along with the letter. Most people end with something like, "Thank you for your consideration", so consider something different.  Here are two examples: "I'm excited about talking further" or "I know I could do a good job for you."
usm.gif (70 bytes) It is wise to also include contact information just in case the résumé and cover letter become separated.
usm.gif (70 bytes) Conclude with an appropriate closing, then leave enough space for you to sign the letter, and type your full name at the bottom. Most people close with "Sincerely" so you should try something different. For example, you could try using, "With great enthusiasm,"  "Good wishes," or "With best regards".
